Digital Project Performance Monitoring Using Microsoft Project: A Case Study of a Small-Scale Construction Project

Abstract

This study analyzes the scheduling optimization of a single-story shophouse construction project using Microsoft Project based on Earned Value Method (EVM) with the Work Breakdown Structure. The research adopts a quantitative approach by measuring cost and schedule performance indicators across three monitoring periods during the project execution. The EVM approach connects three dimensions scope, schedule, and budget through the Cost Variance (CV) and Schedule Variance (SV) indicators. CV reflects the difference between the planned budget value for completed work packages and the actual costs incurred; a positive value indicates work packages completed at lower cost than planned, while a negative value indicates expenditure exceeding the planned budget. SV reflects whether work packages are completed ahead of or behind schedule. The project covers 11 main work groups organized hierarchically in Microsoft Project's WBS, with a planned duration from October 1, 2025 to December 29, 2025, at a total budget of Rp253,975,641. Results show that as of the monitoring status date, the project achieved 79% task completion with Rp217,743,382 in actual expenditure. EVM analysis reveals that five work groups Pekerjaan Persiapan, Pondasi, Cor Beton, Pintu Kusen, and Atap were completed on time and within budget (SV = 0, CV = 0), while Pekerjaan Listrik showed the most critical deviation with a schedule variance of −2 and a negative cost variance due to only 29% completion. WBS-based scheduling through Microsoft Project is proven effective in improving project transparency, facilitating resource management, and enabling early detection of cost and schedule deviations.
